To ensure fairness and security for both our clients and our team, the following deposit policy applies to all DJ service bookings with Smithies Karaoke and DJ Hire.

1. Purpose of this Policy

This Deposit Policy outlines the requirements for securing a booking with Smithies Karaoke and DJ Hire, including the deposit amount, payment process, and conditions for refund or transfer.
By submitting a deposit, you confirm that you have read and agree to our Terms of Service, available at:

2. Deposit Amount & Booking Confirmation

  • A non-refundable deposit of $100 is required within 3 business days of booking confirmation to secure your date.

  • A booking is not confirmed until the deposit has been received and processed.

  • Deposits are payable by bank transfer only to the details provided on your invoice.

  • Deposits will be applied toward your total event balance.

If the deposit is not received within 3 business days, your date may be released without notice and made available to other clients.

3. Remaining Balance

  • The remaining balance is due 7 days prior to the event.

  • Late payments may result in cancellation of services, with loss of deposit.

  • No services will be provided unless full payment has been received prior to the event date.

4. Cancellation, Refunds & Transfers

Client Cancellations

  • More than 14 days’ notice:
    Your $100 deposit remains non-refundable, but it may be transferred once to another available date within 12 months, subject to approval.

  • 3–7 days’ notice:
    You will receive a partial refund of 10% of the total booking cost (not including the deposit).

  • No notice (same day):
    No refund or credit will be issued.

Cancellations by Smithies Karaoke and DJ Hire

If we must cancel due to illness, emergency, or unforeseen circumstances, you will receive either:

  • A full refund of all payments made (including deposit), processed within 90 days; or

  • A credit for the full amount, usable at any future date.

5. Weather Events & Outdoor Bookings

  • Weather conditions are outside our control.

  • If severe weather (e.g., lightning, heavy rain, high winds, or unsafe heat) occurs, we reserve the right to pause, reschedule, or cancel the event for safety reasons.

  • Outdoor setups must be under full cover (e.g., marquee or gazebo) with safe, dry, and grounded power access.

  • If an event cannot proceed due to weather and an alternate location or cover is not provided, the booking may be rescheduled once to a future date (subject to availability).

  • No refund will be issued for cancellations caused by unsafe or unsuitable weather conditions beyond our control.

6. Unsafe or Unfit Conditions

Smithies Karaoke and DJ Hire prioritises the safety and wellbeing of staff, guests, and equipment.
We reserve the right to cease services immediately if conditions are deemed unsafe, including:

  • Aggressive or intoxicated behaviour from guests or patrons.

  • Electrical, heat, or ventilation hazards.

  • Unsafe or unsuitable venue setup (e.g., water exposure, unstable flooring, damaged power outlets).

If services must be stopped due to these factors, no refund or credit will be provided.

7. Equipment Protection

All equipment remains the property of Smithies Karaoke and DJ Hire, part of Smithies Enterprises Group.
The client is responsible for any damage, loss, or theft resulting from negligence or misuse.
If equipment is damaged, the client agrees to reimburse the repair or replacement cost in full.

8. Rescheduling Policy

Rescheduling is permitted only once, and only if:

  • The request is made more than 14 days before the event, and

  • A mutually available date is confirmed within 12 months of the original event.

Any further rescheduling will be treated as a cancellation and subject to standard cancellation terms.

9. Force Majeure

We will not be held liable for cancellations or non-performance caused by events beyond our control, such as:
natural disasters, floods, severe weather, pandemics, power outages, or government restrictions.

10. Acceptance of Policy

By paying your deposit, you acknowledge that you have read, understood, and agreed to the Deposit Policy and Terms of Service of Smithies Karaoke and DJ Hire.
